HR assistant


For more than 30 years, Médecins du Monde, a campaigning medical Organization committed to international solidarity, has been caring for the most vulnerable populations at home and abroad. It has continued to highlight obstacles that exist in accessing health care and has secured sustainable improvements in health-for-all policies. Those working for this independent Organization do not solely dispense care and treatment but condemn violations of human dignity and rights and fight to improve matters for populations living in precarious situations. MdM currently works in 44 countries across all continents where it focuses on 4 priority areas: caring for the health of migrants and displaced persons, promoting sexual and reproductive health, harm reduction associated with drug use, emergencies and crisis.

MAIN RESPONSIBILITIES

Under the supervision of the Regional HR coordinator and with a strong link with the HR/Admin teams at mission level and the Unit assistant based in HQ, the HR Assistant will be responsible for assisting the HR Department at the regional level.

TASKS DESCRIPTION:

Human Resources 
  • Follow up staff’s arrival and departure for the different missions (briefings and debriefings organization, visa follow up…) and liaise with the relevant interlocutor on the field or in HQ.
  • Arrange MdM orientation for the new joiners in Amman Office
  • Assist the Regional HR coordinator in organizing staff training sessions, workshops and activities.
  • Assist the Regional HR coordinator in implementing and keeping up to date the internal processes (recruitment guidelines, Internal Regulations, COE,..)
  • Assist the Regional HR coordinator in implementing the Mdm training policy
  • Assist the Regional HR coordinator on the recruitment process when relevant: publishing job offer, collect CVs, liaise with candidates, shortlisting, organise tests, etc.
  • Keep update the recruitment and training follow up files
  • Keep update the training follow up files
  • Gather the monthly HR information send by the fields at regional level
  • Provide support on the HR reporting for the region.
  • Follow up the regional HR indicators
  • Participate to internal and external HR communication events (workshop, job fairs, …) if relevant
  • Follow up the interns and volunteer’s files within the region, if relevant.
Assistantship
  • Organize meetings on behalf of the regional HR coordinator (HR interviews, career development meetings...)
  • Translate verbally and by written
  • Archive HR documents
  • Update the Share Point with HR documents when relevant
Others
  • Take part to training, if required by MdM
  • Participate to internal meetings
  • Maintain full confidentiality for all work-related information
  • On request:  perform any additional duties on instruction given
  • To inform immediately security focal point in the case of any security problem

PROFILE

Minimum education level: Bachelor of Science in Human resources or management
A minimum of 1 year of professional experience in a similar position
Good knowledge particularly with Excel and Word
Strong work ethic and rigor
Strong sense of responsibility
Strong organization skills and flexibility
Capacity to work in team
Experience working in humanitarian field is an asset
Languages: English, Arabic
