Office assistant\ Receptionist
THE ORGANIZATION:
INTERSOS is an independent Italian non-profit humanitarian organization committed to assist the victims of natural disasters and armed conflicts. Its activities are based on the principles of solidarity, justice, human dignity, equality of rights and opportunities, and respect for diversity and coexistence, paying special attention to the most vulnerable and unprotected people.
INTERSOS has been present in Jordan since 2007, with its main office in Amman and programs of activities all over the country in support of Iraqi refugees. Since 2012 Intersos is partnering with several donors, among which UNICEF, DG-ECHO and OCHA in assisting refugees from Syria and most vulnerable among Jordanian population.
JOB TITLE: Office assistant\ Receptionist
DUTY STATION: Amman, Jordan
REPORTS TO: Field Coordinator
KEY RESPONSIBILITIES:
S/he will be in charge, under the supervision of the field coordinator, of supporting the establishment of the drop in-centre operations by receiving beneficiaries and visitors at field offices in the mentioned governorate, welcome the visitors and advise them on the main services and assistance available at INTERSOS.
RESPONSIBILITIES/DUTIES:
*Implement all reception and office duties, including welcoming visitors by greeting them in a warm, friendly, and professional manner.
*Ensure that visitors wait in the reception area until their host/relevant staff is ready to meet them.
*Regularly update the visit logbook, and guarantee schedule of visits is up to date, and that relevant staff is informed of the daily schedule of visits.
*Ensure that the reception and meeting areas are well maintained, safe, clean and always professional in appearance.
*Under the supervision of the Field Coordinator, and in collaboration with relevant colleagues, identify, plan, organize, implement and monitor the daily schedule and activities of the visitors, in addition to the arrangement of the sessions, trainings, meetings, etc. conducted in the centre.
*Forwards information and support the social workers, the case workers and the community volunteers in mobilizing the community as well as organizing awareness sessions on different topics.
*Oversee mail and courier needs, plus photocopying services for the office.
*Answer any inquiries by telephone or e-mail. File any complaints received, according to the existing mechanisms.
*Prepare comprehensive report regarding activities, achievements, progress and challenges of the office (drop in-centre), to be shared with the field coordinator.
*Perform any other tasks requested by the line manager and/or by the Supervisor in the framework of the activities foreseen by INTERSOS program in Jordan.
JOB REQUIREMENT:
*University degree, social studies, educational studies or any related field.
*Ideally at least 2 years of professional experience.
*Preferred a minimum of 1 years of professional experience in the humanitarian context.
*Office experience and knowledge of refugee’s assistance issues.
*Previous experience as front office/direct liaison relation with beneficiaries/customers a strong asset.
*Strong communication and reporting skills.
*Strong organizational skills and ability to manage efficiently multiple priorities, deadlines and tasks.
*Strong interpersonal and intercultural skills.
*Ability to work under high pressure.
*Excellent time management skills and resourcefulness with attention to details.
*Strict abidance to confidentiality principles.
*Fluency in English is a plus.
