
A Secretary is urgently needed for leading retail company located in Amman- Alabdali
Job description:
• Provides secretarial and administrative support to the General Manager.
• Maintains the General Manager’s calendar, coordinates, arranges and confirms meetings.
• Coordinates work with other managers and support staff to ensure a high performance, customer service-oriented work environment.
• Types and/or drafts, correspondence, and other documents and reports often of a highly sensitive and confidential nature.
• Ensures materials and reports for signature are accurate and complete; proofreads and checks typed and other materials for accuracy, completeness.
• Schedules, prepares agenda and meeting materials and types minutes for various meetings.
• Responsible for distributing meeting agendas, scheduling meetings and recording and transcribing meeting minutes.
• Prepares, edits, amends and alters all correspondence to ensure it is well composed then follow the proper formalities to conclude this task.
• Greet visitors and callers, answer their inquiries and direct them to the appropriate person according to their needs.
• Makes, receives, directs and relays telephone and fax messages to respective personnel.
• Maintains electronic files, database and archiving including shared folders to ensure good keeping and retrieving records efficiently pertaining all tasks related to both department Operations and Fit-out.
• Manages and maintains electronic files for all assigned tasks to incumbent including but not limited to procurement, minutes of meetings…etc.
• Provides administrative support to the Fit-out and Operations departments.
• Handles procurements duties for administrative as well as for all other AMC’s departments provided that incumbent must follow the right channel of approvals.
• Responsible for stationary and cafeteria gear to maintain adequate inventory level.
• Handles the outgoing mail to ensure safe delivery by the respective driver.
• Performs any related task assigned by General Manager and or the direct manager.
Job specifications
• Bachelor degree in Business Administration or any relevant field.
• Experience 2-5 years of experience in secretarial or administration field
• Excellent command of English.
